Our privacy policy



Ecomail is committed to complying with the General Data Protection Regulations of 27 April 2016. With this new regulation, we are strengthening our personal data protection policy so that our users' data is collected and used in a transparent, confidential and secure manner.

Personal data protection policy as of 25 May 2018

Our Personal Data Protection Policy describes how www.ecomail.fr treats the personal data of visitors and users (hereinafter the "Users") when they browse our site www.ecomail.fr (hereinafter the "Site"). The Personal Data Protection Policy is an integral part of the General Conditions of Use of the Site.

www.ecomail.fr constantly pays attention to the data of our Users. We may thus be led to modify, complete or update the Personal Data Protection Policy. We invite you to regularly consult the latest version in force, accessible on our Site. If major changes are made, we will inform you by email or through our services to allow you to review these changes before they take effect. If you continue to use our Services after we post or send you notice of changes to the Privacy Policy, it means that you accept the updates.

What personal data is collected and for what purposes?

When you use our platform and/or when you register, we collect and process personal data about you such as: your surname, first name, address, postcode, city, country, email, IP address, telephone.

Your email is collected so that we can send you service delivery emails.

Your name, first name, address, postcode, city, country and information about your company are collected as part of the billing for the services we offer. This allows us to issue invoices that comply with the regulations in force.

Your phone number is collected so that you can be reached by the technical support and the service managing the "abuses" in case of hacking of your mailbox for example. Technical support may need to call you in order to facilitate the resolution of a problem encountered on your hosting infrastructure.

Your IP address is collected in order to comply with the legislation in force in France. In case of legal requisition, we must be able to transmit it to the French authorities upon request.

Is your data shared with third parties?

The personal data concerning you collected on our platform are intended for ECOMAIL's own use and may be transmitted to subcontracting companies that ECOMAIL may call upon in the context of the execution of its services. They may also be transmitted in order to respond to any judicial requisition, subpoena or other similar governmental or legal requirement or to establish or defend a legal claim.

ECOMAIL does not sell or rent your personal data to third parties for marketing purposes under any circumstances.

If ECOMAIL or all or part of its assets are purchased by a third party, the data in our possession will, if necessary, be transferred to the new owner.

We transfer and store your data within the European Union.

The sub-contractors involved in data sharing are :

ILLIAD: our hosting servers and backups of our infrastructures are made on machines located in the ILLIAD datacenters. The technical data (emails) are thus backed up on machines of the ONLINE company belonging to the Iliad group. The Ecomail team is the only one to have access to these backups which are encrypted on disk.

ECL DIRECT SAS (Groupe STREGO): Your personal data may be transmitted to ECL DIRECT for accounting purposes and to establish our accounting obligations. Invoices containing your personal information are sent directly to the accounting department of ECL DIRECT.

MATOMO, local hosting: We use MATOMO to obtain statistics of frequentation of our sites. MATOMO is hosted on our servers and is an Open Source tool.

MAILCHANNELS: we use the services of MAILCHANNELS for outgoing email routing and spam blocking. The content of the emails is not retained or stored. Emails are analyzed to block possible spam. The outgoing mail routing server is located in SWITZERLAND and complies with EU standards.

How are your personal data protected?

ECOMAIL applies the generally recognised technological and organisational security measures to ensure that the personal data collected are not lost, misappropriated, consulted, modified or disclosed by unauthorised third parties unless the disclosure of such data is required by the regulations in force, in particular at the request of a judicial authority, police, gendarmerie or any other authority authorised by law.

The security of personal data also depends on the Users. Users undertake to keep their login and password confidential and also undertake not to share their account and to declare to ECOMAIL any unauthorised use of the said account as soon as they are aware of it.

Why do we use cookies?

Definition of "cookie" and its use. A "cookie" is a text file placed on your computer when you visit our platform. In your computer, cookies are managed by your web browser.

We only use so-called "analytical" cookies: these cookies enable us to measure our audience such as the number of pages viewed, the number of visits, and user activity on our site, in particular thanks to the services of Google Analytics and Facebook Pixel. These cookies are anonymous.

How long is the data kept?

We keep your data from the creation of your customer account to your request for account deletion. Nevertheless, we are working on improving this and deleting it after a period of inactivity.

What are your rights?

In accordance with the regulations in force, the Users of our platform have the following rights:

- right of access and rectification ;
- to update and complete user data;
- the right to block or delete Users' personal data when it is inaccurate, incomplete, ambiguous, out of date, or whose collection, use, communication or storage is prohibited;
- the right to withdraw consent at any time;
- the right to limit the processing of Users' data;
- the right to object to the processing of personal data;
- right to the portability of the data provided by Users, when such data is subject to automated processing based on their consent or a contract.

If you wish to know how ECOMAIL uses these personal data, to ask to rectify them or to oppose a treatment you can send an email to the address webmaster@ecomail.fr or send a letter to the following address: ECOMAIL - Data protection - Ardichen, 09320 Soulan

Your requests will be processed within 30 days. In addition to your request, we will ask you to attach a photocopy of a proof of identity so that ECOMAIL can verify your identity.
